How Attndi handles your information

Who is responsible

Your employer decides to use Attndi and is responsible for the attendance records about its staff (the data controller). Digiflect Tech runs Attndi for them (the data processor) and is responsible for the accounts of the companies that sign up. We follow the Uganda Data Protection and Privacy Act, 2019.

What we collect

• Who you are: your name, phone number, email if given, job title, member ID and workplace, as your employer entered them.
• Your face: when you register, the app turns a photo of your face into an encrypted face template (a set of numbers) used to recognise you. At each check-in a new photo is compared with it and then discarded; check-in photos are not stored. A profile picture is kept only if you choose to set one. If a colleague registers your face on their phone, that photo is kept only until an admin approves or rejects it.
• Where you are, only when you check in: the phone's location and its accuracy at that moment, to confirm you are inside your workplace zone. Attndi does not track you in the background.
• Workplace Wi-Fi, only when you check in: if your employer uses the Wi-Fi check, the app reads the network you are connected to and we record whether it matched the workplace.
• Your phone: an identifier for the phone you registered (so only your own phone can check you in) and a notification token for push notifications.
• Attendance: check-in and check-out times, whether you were on time, your shifts, swaps, meetings and the verification ID of each check-in.
• Security logs: sign-ins and important actions, with the IP address, to keep accounts safe.

Why we use it

Only to run attendance for your employer: to confirm it is really you, at your workplace, on your phone; to show your history, shifts and meetings; to send notifications you need; and to keep the service secure. We do not sell your information, show adverts, or use it to track you across other apps and websites.

Who can see it

Your employer's admins and your site supervisor see your attendance records and profile. Anyone with a verification ID can confirm that one check-in on our Verify page, which shows the name, place, time and checks passed. The Attndi team can access data only to support your employer or fix problems. Our hosting, email and push notification providers process data only to deliver the service.

How long we keep it

Attendance records are kept for as long as your employer uses Attndi, because employers need them for pay and records. When your employer removes you, your sign-in details, phone registration and face template are deleted; the attendance history stays with your employer. Notifications are deleted after 7 days. When a company leaves Attndi, its data is deleted on request.

How it is protected

Everything travels over encrypted connections (HTTPS). Face templates and other secrets are encrypted in our database, each company's data is kept separate, and admin sign-ins are protected. Only your registered phone can check you in.

Your choices and rights

You can see your records in the app, and ask to correct them or have your information deleted. Ask your employer's admin first; they can correct or remove you in the Attndi dashboard. You can turn off notifications in your phone's settings; camera and location are needed to check in.

Children

Attndi is for workplaces and is not meant for children under 18.
